Location: Shire Endaselas, Ethiopia

Under the overall and administrative supervision of the Head of Sub-Office and technical supervision of the Supply Chain Officer and, in collaboration with relevant units at Headquarters and the Administrative Centres, the incumbent will be responsible and accountable for Warehouse Management activities in Shire, Ethiopia (covering Tigray region and other neighbouring sub/field offices)

Responsibilities

  1. Assist in the overall management of the warehouse by receiving the goods, updating the warehouse records in the database, and dispatching the goods for operations
  2. Verify that all warehousing transactions are done in line to IOM internal guidelines and assist in management of commodity accounting, data quality and integrity in close coordination with head of supply unit in Ethiopia 
  3. Verify documents received from the vendors related to goods received and services provided at the warehouse with other supply chain unit staff before payment is released; 
  4. Provide regular update on the warehouse inventory records upon completing for each activity and submit the updated warehouse inventory report to Supply Chain Officer, warehouse staff in Addis Ababa and head of sub office on weekly basis. 
  5. Assist in ensuring all the original shipping documents are well received in case of receiving new arrival shipments like, packing lists, waybills, bills of lading and the shipping invoices. 
  6. Follow up on the transportation of goods exiting the warehouse to other destinations to ensure they reach their destination;
  7. Obtain the proper authorization from the relevant Program Approver or their designated officer before releasing any goods from warehouse. 
  8. Verify compliance with warehouse policies and verify that the appropriate templates/forms are used for each specific activity. 
  9. Responsible for issuing the “Receiving Report Forms/Goods Receive Note” for the new arrival items into the warehouse and for issuing the “Stock Release Authorization Form/Waybill” when releasing items from the warehouse;
  10. Keep the entire warehouse facility well maintained, including ensuring that goods are stacked, stored and updating the stock cards where necessary; 
  11. Follow up with the warehouse insurance related matters and ensure the relevant documents are signed and are up to date in coordination with Supply chain officer
  12. Generate and distribute the dead stock report to Program Managers, request a distribution plan, and ensure that these items are delivered and documented accordingly. 
  13. Check that expired, damaged, lost, or obsolete stock is properly disposed of according to the internal procedures established in the Warehouse Manual and SOP. All disposals must be approved by the Procurement Authority in the Mission. 
  14. Assist to ensure security and safety measures are always maintained within the warehouse premises in coordination with the Security unit; 
  15. Keep the relevant units such as Warehouse, Programme, Procurement and Logistics informed about the status of rejected goods and consignments that require follow up or replacement or require penalty application. 
  16. Perform any other duties as may be assigned. 

Qualifications

EDUCATION

  • University Degree in Business Administration, Management, Logistics, Supply Chain Management or a related field from an accredited academic institution with two years of relevant professional experience; or, 
  • High school diploma with four years of relevant professional experience 
  • Certification in Procurement, Logistics, Warehouse inventory and asset Management or Supply Chain Management is an advantage 

EXPERIENCE

  • Experience providing support to supply chain management, asset management, warehouse inventory management and logistics and working with vendors and service providers. 
  • Experience with warehouse inventory management process.  
  • Experience working with IOM/UN Supply chain, warehouse inventory management, asset management and Logistics Rules and Procedures is an advantage 
  • Experience working in an international organisation in a multi-cultural setting an advantage. 

SKILLS

  • High level of computer literacy 
  • Knowledge of ERP system/ORACLE highly desirable 
  • Ability to work with national and international institutions.  
  • Ability to prepare clear and concise report;  
  • Demonstrated ability to and exercise sound judgment;
